AI assistant for Jane App™ clinics

The birthday assistant

The birthday assistant sends every patient a warm message on their birthday, with a natural reason to come back. Emma uses the patient details already in your Jane App™ database, sends on the day, and includes your Jane booking link if they want to use it. It is the smallest of the nine assistants and one of the easiest reasons to get back in touch.

  • Warm, not salesy
  • Uses your Jane data

The objection

The objection is that this is a gimmick, and it nearly is

A birthday text from a business is a familiar and mostly unloved thing. The distance between the version people quietly like and the version they delete is narrow, and it is almost entirely about what comes attached to it.

Why we built this

The one message with nothing attached to it

A birthday message is the easiest thing in the suite to get wrong, because there is an obvious way to make it earn its keep. Add a discount. Add a limited-time offer. Make the greeting the wrapper on a promotion.

That works once. What it teaches is that a message from your clinic is always selling something — and that lesson then applies to every other message you send. The aftercare check-in. The re-engagement text. The one that actually mattered.

So this one carries nothing. A greeting, in your clinic’s name, on the day. It is the smallest of the nine assistants and the only one with no job beyond being pleasant, and it is worth protecting from improvement.

It is the only message you send that does not want anything, which is most of the reason it works.

Shaped by practitioners and clinic owners who have received the other kind.

How it works

How it works

  1. Step 1

    The date comes round

Emma works from the patient details already in your Jane App™ database, so there is no separate list to build or keep current.

  2. Step 2

    She sends something warm

A short personal message in your clinic’s tone — a greeting first, not an offer with a greeting attached to it.

  3. Step 3

Rebooking is there if they want it

Your Jane booking link is available in the same conversation, and if they reply she answers. Nobody is pushed.

In the journey

Where it fits in the patient journey

This is the one touchpoint that has nothing to do with a treatment, which is exactly why it lands well.

One of nine

Emma is the AI receptionist. This is one of the nine assistants behind her.

Each assistant covers one moment in the patient journey. Three answer everyone who contacts you; six reach out first.

What else Emma has behind her

Assistants work together rather than in isolation — a recovered call often becomes a first visit, and a first visit becomes aftercare.

Questions

Birthday, answered

Where does the birthday information come from?

From the patient details already in your Jane App™ database. There is no separate list to build or maintain, and Rebookly handles only the limited information needed for appointment-related communication — never clinical records or chart data.

Does it feel like a promotion?

It should not. The message is written as a greeting in your clinic’s tone, with rebooking available rather than pushed. Messages are conversational, optional, and easy to ignore, and the whole suite is built to remove friction rather than apply pressure.

Can Emma tell me what times are available?

No — and that is deliberate. Emma doesn’t handle availability at all. She answers what she knows from your knowledge base — services, pricing, duration, practitioners, policies — and hands off your Jane App™ online booking link, where the patient sees your live schedule and picks their own time. Because she never reads or quotes your schedule, she can never offer a slot that is already gone. Separately, background data sync with Jane keeps re-engagement targeting and the dashboard current — that is reporting data, not availability.

Can we turn it off or change the wording?

Yes. Tone, timing, and whether it runs at all are configured to your clinic, and you can pause or stop it whenever you like. Opt-outs are enforced automatically across every workflow — if a patient has opted out, they will not receive it.

By clinic type

Tuned to your discipline

This assistant runs the same way for every discipline — what changes is the knowledge base behind it.

This runs the same way for any Jane App™ clinic, whatever you practise. See the AI receptionist by clinic type · How the Jane App integration works
