AI booking for Jane App clinics

The AI booking receptionist for Jane App clinics

An AI booking receptionist books the appointment while the patient is still in the conversation. Emma does that for clinics on Jane App™: she finds a time that is actually open in Jane, then books it, moves it or cancels it, on a phone call, a text, your website chat or a Facebook or Instagram message, at any hour. The appointment is made in Jane itself, so there is no second calendar, and you choose who she books.

How a booking works

From the patient’s question to an appointment in Jane

Four steps, in the conversation the patient started. Moves and cancellations work the same way.

  1. Step 1

    The patient asks

By phone, text, website chat or a Facebook or Instagram message, at 2 pm or 2 am. Emma answers what it costs, how long it takes and who provides it, from your own knowledge base.

  2. Step 2

Emma finds a time that is actually open

She reads your availability in Jane at the moment she needs it, and offers times that are genuinely free: the right service, a practitioner who provides it, at the right location.

  3. Step 3

    She books it in Jane

Once the patient agrees a time, Emma books it in Jane and creates the patient record where there is not one. The patient never sees a login screen, a password or a booking widget.

  4. Step 4

    Jane confirms it

The appointment appears in Jane like any other booking, and Jane sends the patient its own confirmation, as it does when your front desk books someone.

Your settings

You choose who Emma books

Your clinic decides who Emma books with and how she places a first visit. Every setting narrows what your Jane online booking allows; none can widen it.

  • Who she books with

    • Turn practitioners, services and locations on or off for Emma
    • New patients, returning patients, or both, per practitioner
    • Mark a practitioner away until a date, and they come back on by themselves
  • How she places a first visit

    • The soonest open time, practitioners in an order you set, or a share you choose
    • Only practitioners taking new patients are offered to a new patient
    • Returning patients see their usual practitioner first

The limits she keeps

What Emma will and won’t do with your schedule

Booking is only useful if you can trust what lands in Jane. These are the rules she works to.

Questions

AI booking, answered

What is an AI booking receptionist?

It is a receptionist that books the appointment itself, in the conversation, rather than sending the patient somewhere else to book. Emma, Rebookly’s AI receptionist for clinics on Jane App™, answers a patient’s questions, finds a time that is open in Jane, books it once the patient agrees, and can move or cancel it later, on calls, texts, website chat and Facebook and Instagram messages.

Does Emma book appointments straight into Jane App?

Yes. The appointment is made in Jane itself, so there is no second calendar to keep in step. It appears like any other booking, your Jane rules govern what is possible, and Jane sends the patient its own confirmation, as it does when your front desk books someone.

Can Emma reschedule and cancel appointments?

Yes, the same way she books them. Before she changes anything she confirms who she is talking to. Inside your clinic’s late-change window, which is 24 hours unless you choose otherwise, she does not move or cancel: she passes the request to your front desk.

Can we choose which practitioners and services Emma books?

Yes. You turn practitioners, services and locations on or off for Emma, choose whether each practitioner takes new patients, returning patients or both, mark someone away until a date, and set how first visits are placed. Every setting only narrows what your Jane online booking already allows; none of them can open something you have closed in Jane.

Do patients need a Jane account or a password?

No. A patient who has never used Jane does not create an account, set a password or work through a booking widget. They answer Emma in the conversation they started, and she creates the patient record in Jane where there is not one.

Does Emma book on phone calls?

Yes, on the calls she answers for you. She takes inbound calls in conversation and can book, move or cancel on the call itself. She never places a call to a patient, for any reason.

What happens when nothing suits the patient, or the request is unusual?

She does not guess. If no open time suits, she takes a callback request for your front desk. A booking for a child, or for someone other than the person she is talking to, goes to your front desk too, and so does anything clinical.

What does AI booking cost?

What it costs, and what is billed on top, is on the pricing page.
